Meeting Minutes - Wednesday September 9th, 2026
Meeting highlights: Upcoming events include POJO’s Night, the fall spirit wear sale, Monster Mash, and the Holiday Bazaar. Volunteers are especially needed for the Parent-Teacher Conference Dinner and Monster Mash. The next PTO meeting is October 7 at 6:00 p.m.
1. Welcome and Sign-In
The meeting opened with a welcome and thanks to everyone who attended in person or online via Google Meet.
2. Introductions
Attendees introduced themselves by sharing interests unrelated to parenting. The group learned that many participants enjoy crafts and reading.
3. Reports from PTO Leadership
Treasurer's Report
No treasurer’s report was presented at this meeting.
4. Projects and Upcoming Events
The PTO reviewed upcoming events, with most of the discussion focused on Monster Mash because it is the next major event requiring additional volunteer support.
POJO's Night - September 17
POJO’s Night is next week. Flyers will be provided to teachers this Friday to send home with students, and the event will also be posted in ParentSquare.
Spirit Wear - September 28
Flyers announcing the store opening will be distributed soon. The store will remain open for two weeks and will reopen in the spring. Kindergarten students will receive a free shirt, but those shirts will not be ordered until spring. Families may still purchase other spirit wear during the fall sale. Sky Marketing will charge a small fee per order this year. The PTO will review next year’s fee structure and may explore other vendors.
Parent-Teacher Conference Dinner — October 14; drop-off and setup at 4:00 p.m.; cleanup at 7:30 p.m.
The sign-up form will be sent by October 1, if not earlier. Volunteers will be especially needed for setup and cleanup.
Monster Mash — October 29, 6:00–8:00 p.m.
Monster Mash is the first community event of the semester. Visit the Monster Mash Details (Live Doc) for event information and volunteer sign-ups.
Teachers will begin sharing the Trunk-or-Treat sign-up link on Friday, September 11. All sign-ups must be completed by October 2.
The primary discussion focused on where adult volunteers will be needed in addition to the AVID volunteers, since many parents will want to participate with their children. The craft station also received significant attention; the group will develop ideas to present at the next meeting.
Holiday Bazaar - December 4
The Holiday Bazaar is planned as the PTO’s major fundraiser for the semester. Teachers will receive an email this Friday with guidance intended to avoid duplicate classroom art projects. The theme will be broadly winter/holiday focused. Each teacher will receive an additional $50 in classroom funds, which is already included in the budget. Planning updates will continue at future meetings.
5. Other Business
Fence décor, U.S. map, and blacktop improvements: The PTO found a lower-cost source for pop cups and can use the district’s U.S. map. The group is also working to obtain district paint for the map and to refresh blacktop markings, including the four-square lines. These projects are expected to be part of the spring Shadow Hills Community Cleanup Day.
Barnes & Noble fundraiser: The fundraiser is scheduled for November 21, and the PTO will receive a percentage of eligible sales. Additional details will be discussed later, including a weeklong coupon period that encompasses Black Friday.
6. Next Meeting
The next PTO meeting will be held Wednesday, October 7, at 6:00 p.m. Because of the strong turnout, both in-person and online attendance options will again be available. The virtual meeting link is https://meet.google.com/rnm-ohir-wcc.
