Meeting Minutes - Wednesday October 7th, 2026

Meeting highlights: The PTO reviewed results from POJO’s Night and the fall spirit wear sale, along with plans for Monster Mash and the Holiday Bazaar. Volunteers are especially needed for the Parent-Teacher Conference Dinner and Monster Mash. The next PTO meeting is November 11 at 6:00 p.m.

1. Welcome and Sign-In

The meeting opened with a welcome and thanks to everyone who attended in person or online via Google Meet.

2. Introductions

Attendees introduced themselves and shared their favorite fall activities. Most said they enjoy apple picking and fall soups.

3. Reports from PTO Leadership

Treasurer's Report

  • No treasurer’s report was presented at this meeting.

4. Projects and Upcoming Events

The PTO reviewed upcoming events, with most of the discussion focused on Monster Mash because it is the next major event requiring additional volunteer support.

POJO's Night - September 17

POJO’s Night was a success. The fundraising total is expected to be available by the next meeting.

Spirit Wear - September 28

The spirit wear sale will remain open through Monday, October 12. Sales have already doubled the spring total. When the sale reopens in the spring, different options may be available. The PTO discussed adding items such as socks and darker-colored shirts for adults.

Parent-Teacher Conference Dinner — October 14; drop-off and setup at 4:00 p.m.; cleanup at 7:30 p.m.

The sign-up is almost full—thank you! Additional help is still needed with setup and cleanup. The sign-up will be shared again during the week of October 12 to recruit more volunteers.

Monster Mash — October 29, 6:00–8:00 p.m.

Monster Mash is the first community event of the semester. Visit the Monster Mash Details for event information. A volunteer sign-up will be shared, with the greatest need for help with setup and cleanup.

The number of available Trunk-or-Treat spaces has increased, and all spaces are now filled. Approximately 20 vehicles will participate.

Tina, the administrative assistant, will lead the craft station. Additional details will be discussed before the event.

Holiday Bazaar - December 4

The Holiday Bazaar is planned as the PTO’s major fundraiser for the semester. Teachers need to select an art project and let the PTO know if they need assistance. Teachers and staff may also offer experiences which have been very popular in the past. Additional information is available in the Holiday Bazaar Details (Live Doc).

Volunteers are needed to contact businesses about donating silent auction items. Anyone who can help should contact the PTO.

Vendor booths will be available for purchase beginning October 15. Space is expected to be available for approximately 25 vendors.

Instead of hosting food trucks at the event, the PTO will explore pairing the Holiday Bazaar with a restaurant fundraiser at Chipotle.

5. Other Business

  • Barnes & Noble fundraiser: The fundraiser is scheduled for November 21, with vouchers available for the following week through Black Friday. The PTO is exploring ways to attract customers in support of Shadow Hills. Barnes & Noble suggested hosting choir or band performances and scheduling teacher read-aloud. The PTO will also consider distributing stickers or bookmarks that customers can present so their purchases are credited to Shadow Hills and the school receives a percentage of sales.

  • Book Fair & IBOB: Thank you to Kattie for helping secure the Book Fair and organize IBOB. The PTO is clarifying whether Book Fair proceeds will be distributed to the PTO for library support or directly to the school. It is also determining dates for future Book Fairs.

  • Fun Fridays: The PTO discussed ways to participate in Fun Fridays. Turnout was strong last month, but some students were unable to have family members attend. PTO volunteers may be able to play games and spend time with those students. Additional ideas are welcome.

  • Assembly guests: The PTO discussed helping bring guest speakers to assemblies and classrooms. Staff members are encouraged to share requests for classroom or schoolwide presenters.

6. Next Meeting

The next PTO meeting will be held Wednesday, November 11, at 6:00 p.m. Because of the strong turnout, both in-person and online attendance options will again be available. The virtual meeting link is https://meet.google.com/ixc-duki-nzg
